Your voter list is the backbone of your election. If a voter\u2019s email is misspelled, they won\u2019t receive their voting link. If someone is missing from the list, they can\u2019t vote. If someone is on the list who shouldn\u2019t be, your election\u2019s legitimacy is at risk.<\/p>\n\n\n\n
Getting the voter list right isn\u2019t glamorous work, but it\u2019s the single biggest factor in whether your election runs smoothly or becomes a logistical headache. This guide covers everything from preparing your data to handling issues during a live election.<\/p>\n\n\n\n
Before uploading anything, your voter list needs to be clean and properly formatted.<\/p>\n\n\n\n
Required Fields<\/strong><\/p>\n\n\n\n What columns you need depends on how voters get their key, which you choose on the Start step:<\/p>\n\n\n\n Data Cleaning Checklist<\/strong><\/p>\n\n\n\n Paste or upload: On the Voters step, copy your rows from Excel or Google Sheets, heading row included, click a cell and paste. Columns are matched by their headings. Or choose \u201cUpload CSV\u201d: Excel files need saving as CSV first. The \u201cMatch your columns\u201d dialog shows each column in your file with its first values, so you can check where each one goes before you import. Every row is checked as it goes into the list. \u201cDownload a CSV template\u201d gives you a file with this election\u2019s headings.<\/p>\n\n\n\n Manual Entry: For elections with fewer than 20\u201330 voters, you can enter voters directly into the interactive grid. Click on a cell and type. This is often faster than preparing a spreadsheet for very small elections.<\/p>\n\n\n\n Set 5 to 10 spare keys on the Voters step (\u201cFor members you add after launch\u201d). They are blank voter slots that serve as your safety net. Your dashboard\u2019s Voters tab shows how many you have used, under Spare keys.<\/p>\n\n\n\n Why they matter:<\/strong><\/p>\n\n\n\n Spare keys count toward the price, and the \u201cPrice so far\u201d meter on the Voters step shows the total as you set them. The small cost is worth the flexibility. You cannot add voters to a live election without spare keys set before launch.<\/p>\n\n\n\n Once the election is launched, the list is locked except for your spare keys (this preserves election integrity). But you can:<\/p>\n\n\n\n \u201cMy voter didn\u2019t receive their email\u201d<\/strong><\/p>\n\n\n\n \u201cI need to add a voter after the election launched\u201d<\/strong><\/p>\n\n\n\n Use one of your spare keys. On the dashboard\u2019s Voters tab, click + beside Spare keys, then \u201cAdd voter\u201d. The new key appears in the voter list for you to give to the new voter: it isn\u2019t emailed or texted.<\/p>\n\n\n\n \u201cA voter accidentally shared their key\u201d<\/strong><\/p>\n\n\n\n If the key hasn\u2019t been used yet, there\u2019s no security risk \u2014 only the person with the key can vote.
