How to send voting reminders and resend keys
Reminders bring in the members who meant to vote. Resending helps the voter who cannot find their link.
You set up voting reminders in step 5 of the setup wizard, along with your notification templates. Free elections include 1 reminder and paid elections include up to 5. If a voter cannot find their link, open the Voters tab and resend it. Resend sends the same key again and does not create a new one. Ask voters to check spam first.
How many reminders you get
Every feature is on every plan with one exception: reminders. Free elections, up to 20 voters, include 1 reminder. Paid elections include up to 5. A 21-voter election costs $10 flat, so even a small paid election gets all 5. See pricing.
How to send voting reminders
- In step 5 of the setup wizard, Notification templates, set up your reminders along with the invitation.
- Write the reminder like the invitation. Email supports Markdown, and the #ballot-link# tag carries each voter's link.
- Add the #election-deadline# tag so voters see when voting closes.
- Review everything in step 6 and launch.
For wording that gets opened, read how to write election notifications. Our voter notifications page lists every tag.
When to send reminders
Spread reminders across the voting window and keep one for the final day.
Example: a 120-member nonprofit runs a 10-day board election. It is a paid election at $10, so it has 5 reminders to plan.
| Message | When |
|---|---|
| Invitation | Day 1, when voting opens |
| Reminder 1 | Day 3 |
| Reminder 2 | Day 6 |
| Reminder 3 | Day 8 |
| Reminder 4 | Day 10, morning |
| Reminder 5 | Day 10, a few hours before close |
A free 18-voter election has 1 reminder. Plan it for about a day before close.
How to resend a voter's key
- Open the live election and go to the Voters tab.
- Find the voter. The list appears in random order, and voter labels help you spot the right person.
- Use Resend for that voter.
- Tell the voter to look for the message, including in spam.
Resend sends the same key again. It does not create a new key, so an earlier copy of the link still works until the voter submits a ballot. Once they vote, the key is deactivated. Resending cannot fix a wrong address, because the voter list locks at launch, so check addresses before you launch.
When the voting email lands in spam
When a voter says the email never arrived, start with spam. Ask them to:
- Search their inbox, spam and junk folders for the election name
- Check any other tabs their email app sorts mail into
- Ask their IT team about a work address, since corporate filters can block election email
A voter who has their 16-digit key can also enter it at app.electionchamp.com/vote/. Send voters to how to vote for the full steps.
