HOA Voting Questions
In most states, yes, particularly when your governing documents don't explicitly prohibit it. Many HOA attorneys recommend online voting as a way to increase participation and create better documentation. ElectionChamp provides encrypted ballots, unique voter keys and a complete audit trail. We recommend reviewing your bylaws and consulting your association's attorney if you're unsure.
Yes. If your governing documents weight votes by unit, lot or ownership share, turn on Weighted ballots in the Start step, then give each owner a whole number in the Weight column (for example, 1, 2 or 3 votes). Weighted voting works with every voting method, is included on every plan, and results show weighted totals. Decimal weights are not supported. Check your declaration and bylaws for how votes must be allocated.
You paste or upload your homeowner list, with an email address or phone number for each owner. When you launch, ElectionChamp makes a unique 16-character voter key for each owner. Only people on your list get a voting link, and each key works once, so nobody can vote twice. The board controls who is on the list, just as with paper ballots.
Absolutely. A single election can include board member votes, bylaw amendments, budget approvals, and surveys all on the same ballot. Homeowners see and vote on everything in one session. Results are calculated separately for each item.
ElectionChamp supports hybrid voting. Turn on Hand out keys in the Start step, and after launch download the keys from your dashboard's Voters tab to print on your own notices for owners who prefer paper. A board member or property manager can then enter a paper ballot's choices on the owner's behalf using that owner's key. This way every owner can take part, whatever their comfort with technology.
Online voting removes the biggest barrier to participation: having to attend a meeting or mail back a paper ballot. Owners vote from any device, and online voting can mean up to 80% higher turnout than paper. While voting is open, you can also send a reminder to every homeowner who hasn't voted, in one click.
The board can see who has participated (useful for quorum tracking), but ballots are anonymous: no one, including the board or ElectionChamp, can see how any individual voted. This is by design and cannot be overridden. It's the same secret ballot standard required by most HOA governing documents.
