Checklist of five questions for Canadian voting vendors: data location, currency, proxies, French ballots, phone support

Short answer: The best online voting software in Canada depends on your vote. GetQuorum suits condo corporations that want a hosted AGM with electronic proxies. Simply Voting suits large bilingual organizations that need phone voting and Canadian hosting. ElectionBuddy suits mailed ballots and API work, and OpaVote suits ranked counts. ElectionChamp suits nonprofits, co-ops, and associations on a budget at US$10 for up to 200 voters. Facts are as of October 2026.

This guide is for condo boards, strata councils, nonprofit directors, housing co-ops, union locals, and sports associations. It compares five platforms on pricing and currency, free tiers, voting methods, AGM support, proxies, phone support, and French. ElectionChamp is our product, so every competitor fact links to that vendor’s own page, checked in October 2026.

Online Voting Platforms in Canada Compared

Start with price. Three of the five vendors publish full price lists, all in US dollars.

How Much Does Online Voting Software Cost in Canada?

Here is what one vote costs at three common sizes: a mid-size condo, a large strata or co-op, and a provincial association.

Platform (as of October 2026) 150 voters 300 voters 1,000 voters
ElectionChamp US$10 US$15 US$50
ElectionBuddy (election) US$29 US$29 US$99
ElectionBuddy (meeting vote) US$397 US$397 From US$797
OpaVote US$20 US$30 US$80
Simply Voting Calculator quote Calculator quote Calculator quote
GetQuorum Quote Quote Quote

Notes: OpaVote figures assume 20 or fewer candidates. ElectionBuddy prices on voter list size, not turnout, and adds proxy transfers at Premium. ElectionChamp prices on total capacity (voters plus spare keys), and setup and testing are free. Your card issuer converts US dollar prices at its own rate and may add a foreign transaction fee.

GetQuorum also publishes per-unit prices for condo paperwork: budgets at $3.15 a unit ($300 minimum) and governance notices at $1.75 a unit ($200 minimum). Those cover notices to owners, not the vote itself.

Canadian E-Voting Companies: What Each Vendor Says

Many boards search for a Canadian vendor. Only call a company Canadian if its own site says so, and check where its servers sit.

  • Simply Voting lists a Montreal head office on its contact page. A May 2025 Simply Voting post says its servers are “100% hosted in Canada,” with primary servers in Kelowna and backups in Mississauga. It also runs a French site at simplevote.ca.
  • GetQuorum does not state a head office or data location on its home or pricing pages. It shows member logos for ACMO, CCI, and CAI, and names Ontario, Alberta, and B.C. among the jurisdictions it covers.
  • ElectionBuddy and OpaVote do not state where data is stored on their pricing pages.
  • ElectionChamp prices in US dollars. Ask us where your data is stored, the same as you would ask anyone else.

If Canadian hosting is a hard requirement in your by-laws or funding agreements, Simply Voting is the only vendor here that publishes it. For a side-by-side on price and features, read ElectionChamp vs Simply Voting.

How to Choose Online Voting Software for a Canadian Organization

Data Residency and Privacy (PIPEDA)

A voter list holds names, emails, and phone numbers, so privacy law applies. The Office of the Privacy Commissioner publishes guidelines for processing personal data across borders. They state that “PIPEDA does not prohibit organizations in Canada from transferring personal information to an organization in another jurisdiction for processing.”

The same guidelines keep your organization accountable for data it hands to a vendor (Principle 4.1.3). You need a contract or other means that gives comparable protection. You also need to make it plain to members that their information may be processed in a foreign country. Some provinces have their own private-sector privacy statutes, so confirm with counsel which law covers you.

Send every vendor the same questions, including ElectionChamp:

  • Where is voter data stored, and where are backups kept?
  • Which subprocessors (hosting, email, SMS) touch the voter list?
  • How long is data kept after the vote, and can you delete it on request?
  • Can an administrator see how any member voted?

Proxies and AGM Format

Ontario condo AGMs often run on proxies. If your owners still mail in paper proxies, GetQuorum digitizes them and hosts the meeting. ElectionBuddy offers proxy transfers on Premium. ElectionChamp does not list a proxy transfer feature, so it fits best where members vote directly online, in person with printed keys, or both. Our guide to adding online voting to your AGM covers the hybrid setup.

French-Language Voting

Simply Voting describes itself as fully bilingual. OpaVote offers French voter screens. ElectionBuddy and ElectionChamp let you write the ballot and notices in French. Test the voter view on a phone before launch either way.

Phone Support and Phone Voting

Simply Voting is the only vendor here that lists telephone voting, sold as a premium feature. It is the strongest pick for members without reliable internet or email. For admin help by phone, Simply Voting includes it, ElectionBuddy offers it on Professional, and GetQuorum offers live 1:1 support. ElectionChamp support is by email and free for administrators and voters.

Price in Your Currency

ElectionChamp, ElectionBuddy, and OpaVote state prices in US dollars. Simply Voting and GetQuorum do not state a currency on their pricing pages, so ask which currency your quote uses before you compare.

Online AGM Voting Rules by Province

Software is only one part. Your governing documents and provincial or federal law decide whether an online vote counts.

Organization Rule Source
Ontario condo corporations Since the October 1, 2023 changes to the Condo Act, corporations can hold meetings and votes virtually or by phone without a specific by-law. Owners who vote this way count as present for quorum. Condominium Authority of Ontario
B.C. strata corporations Strata Property Act s. 49(1) lets a strata provide for attendance and voting by telephone or other electronic means. No strata bylaw is required. Electronic attendees are deemed present in person (s. 49(4)). B.C. government strata voting guide
Federal not-for-profits Canada Not-for-profit Corporations Act s. 171(1): by-laws may provide for prescribed methods of voting by absent members and must set procedures for collecting, counting, and reporting. Without that, s. 171(2) lets the Director authorize a method. Justice Laws, CNCA
Alberta condos, provincial nonprofits, co-ops, unions Rules vary by statute and governing documents. Check your declaration, by-laws, and counsel

One B.C. detail surprises councils. Under s. 49(3)(b), a person voting electronically “is not entitled or required to vote by secret ballot,” according to the B.C. guide. If your owners expect secret ballots, plan how electronic and in-room votes will be handled before the meeting. The same guide says a proxy can be any person except the strata manager or a strata corporation employee.

Co-ops can also read our guide to running member votes for co-ops. Confirm every rule with your by-laws and counsel.

Which Platform Fits Your Organization

  • Ontario condo corporation with paper proxies and a hosted AGM: GetQuorum. Condo AGM services are its focus, with moderation, scrutineering, and proxy digitization.
  • Large bilingual association or union needing phone voting or Canadian hosting: Simply Voting. It publishes Canadian hosting, French and English, and telephone voting.
  • Organization that must mail ballots or connect an API: ElectionBuddy Professional, which includes mailed and printed ballots, API access, and phone support.
  • Ranked or proportional counts with published rounds: OpaVote, with IRV, STV, and Condorcet, plus Counts for ballots collected elsewhere.
  • Nonprofit, sports association, co-op, or community group running board elections and motions: ElectionChamp. A 300-member vote costs US$15, every feature is on every plan, and SMS keys carry no per-message fee.

Whichever you pick, run a test election with two or three board members first. Setup and testing are free on ElectionChamp, and most free tiers cover a test.

Frequently Asked Questions

Is online voting allowed at Ontario condo meetings?

Yes, by default. The Condominium Authority of Ontario says that since the October 1, 2023 changes, condo corporations can hold meetings and votes virtually or by phone without a specific by-law. Corporations can pass by-laws to regulate how they do it. Check your declaration, by-laws, and counsel before your AGM.

Which online voting companies are Canadian?

Of the five platforms compared here, Simply Voting lists a Montreal head office and says its servers are 100% hosted in Canada. GetQuorum does not state a head office or data location on its home or pricing pages. Ask any vendor directly where it is based and where your data is stored.

Does PIPEDA require voting data to be stored in Canada?

No. The Privacy Commissioner’s cross-border guidelines say PIPEDA does not prohibit transferring personal information to another jurisdiction for processing. Your organization stays accountable, needs comparable protection by contract, and must tell members their information may be processed abroad. Provincial laws or funding agreements may add rules, so confirm with counsel.
